Complaints Policy

1. Purpose
 

CHHA-NL is committed to maintaining a culture of integrity, transparency, and accountability. This Employee Concern Reporting Policy provides employees, contractors, and stakeholders with a mechanism to report unethical, illegal, or improper conduct without fear of retaliation.

2. Scope

This policy applies to all employees, officers, directors, contractors, and stakeholders of CHHA-NL It covers suspected violations related to:

  • Fraud, corruption, or financial misconduct

  • Violations of laws or regulations

  • Harassment, discrimination, or workplace violence

  • Health and safety risks

  • Environmental violations

  • Retaliation against those who report concerns

  • Any unethical business conduct

3. Reporting a Concern

 

Individuals who become aware of misconduct are encouraged to report their concerns to the Chair of the Board of CHHA-NL, who can be reached via phone at __________or email at ________

Reports should include details such as:

  • Description of the misconduct

  • Names of individuals involved

  • Dates, locations, and evidence (if available)

4. Confidentiality & Anonymity

All reports will be treated confidentially. Those who report under this policy may choose to remain anonymous, but providing contact details can help with investigation follow-ups.

5. Investigation Process

Upon receiving a report:

  1. The Board Chair will review the complaint.

  2. A preliminary assessment will determine if an investigation is required.

  3. If warranted, an independent investigation will be conducted.

  4. Findings will be reviewed, and corrective actions will be implemented if necessary.

  5. The person who filed the report will be informed of the outcome, if possible.

6. Protection Against Retaliation

CHHA-NL strictly prohibits retaliation against anyone who files a report under this policy. Anyone who retaliates against a person who files a report will face disciplinary action, including termination.

7. False Reports

Knowingly submitting false or misleading reports is a serious offense and may result in disciplinary action.

9. Policy Review & Amendments

This policy will be reviewed regularly to ensure compliance with legal updates and organizational needs.
